
Regional Arts Fund Program Manager
- Part Time Role (3 days per week)
- Planning, delivery and review of the RAF Programs

The Regional Arts Fund is an ongoing program that provides approximately $6 million per year to support artists and communities in regional and remote areas. The Regional Arts Fund is part of the Australian Government’s Arts and Cultural Development Program that supports participation in, and access to, Australia’s arts and culture through developing and supporting cultural expression
About the Role
- Lead and deliver the annual Regional Arts Fund Grants Program in Queensland, in accordance with the Regional Arts Fund Guidelines;
- Oversee development of and adherence to Guidance Material for applicants in Grant categories for The Programs.
- Administer project grants, Quick Response Grants and other grants (The Programs) in accordance with the requirements specified in the Regional Arts Fund Guidelines:
- Attend to all enquiries from and communication with individual artists and arts and non-arts organisations in a timely and appropriate manner.
- Maintain and update all online forms through SmartyGrants platform.
- Ensure all stages of grant programs are attended to and deadlines met through SmartyGrants platform, including opening and closing competitive funding rounds, informing successful, unsuccessful and ineligible participants.
- Engage a panel from Flying Arts approved peer assessment pool to assess applications and attend moderation meetings.
- Book venue for panel moderation meetings.
- Book travel, accommodation, and catering for panel members to attend funding moderation meetings.
- Advise all applications of outcome of applications, as per the Guidance Material, on advice from Regional Arts Australia and on ministerial approval.
- Issue funding agreements and receipt signed agreements.
- Ensure timely processing of invoices for payment of funding to successful applicants
- Manage the receipt of any variations to and acquittal of funding to successful applicants in agreed timelines.
- Prepare and submit the reports on program activities for internal and external stakeholders.
- Prepare and provide to Regional Arts Australia information about the Program on request
- Engage with the arts sector in Queensland and identify sector trends to inform the grants program
- Identifying opportunities and present to sector networking opportunities on the grant program
- Manage and administrate any additional extension funding e.g. Boost fund, Artlands bursaries or similar
- Attend appropriate state and national forums including those run by Regional Arts Australia, The Department (Office of the Arts), Arts Queensland and sector
- Manage and authorise the RAF marketing and finance functions including signing off grants, payments and submitting reports, media releases, guidance material etc
- Approve SmartyGrants applications as required
- Manage the portfolio budget in accordance with the Deed
- Preparation and review of any new contract templates for grant recipients
What you will need to be successful in the role:
- Demonstrable knowledge of the Regional Arts and Cultural Sector and in the Queensland context.
- High level interpersonal communications skills with exceptional customer service ethic
- Knowledge of project management/coordination procedures including budget allocation
- Highly process-oriented, with strong organisational and administration skills including database entry and management
- Knowledge and experience in the visual and media arts, as well as the arts in general
- Knowledge of modern office procedures and business communication, including email and phone communication, record keeping, formal letters, invoice and payment procedures and report writing
- Advanced proficiency with a PC computer and various software packages including Windows and Microsoft Office 365 suite (incl Teams, Word, Excel, Outlook) and proficiency with SmartyGrants and Salesforce and associated software or similar CRM
- Ability to liaise and work effectively with diverse service providers and client groups
Key Selection Criteria
Essential
- Tertiary qualifications in arts administration, business or similar
- 3-5 years experience in leading state or national grant or engagement programs
- 3-5 years experience in leading teams and projects
- Experience in contract preparation, budget management and report writing
- Experience in program marketing and promotions and giving presentations to external audiences
- Demonstrated ability to advise on best practice in grant writing and acquittal
- Knowledge of regional arts policy and arts and cultural funding environment
- Exceptional organisational and time management skills
- High level communication and interpersonal skills
- First class customer service ethos
- Demonstrated ability to work effectively in a small dynamic and agile team
- Demonstrated ability to work collaboratively and share knowledge
- Knowledge of/experience in CRMs and database/grant management software
